Nobody shortlists from forty products. In practice an Indian institute ends up comparing three, and the useful thing a list like this can do is show you which category you belong in, so the other thirty-seven stop wasting your time. That is what this page is for.
We build DigiERP and have put it first in its category, so read this as a vendor’s shortlist rather than an independent ranking. Every other name here is a real, established product described at category level. We have not published their prices or feature scorecards because we cannot verify those for your institute today, and we have not invented a single entry to pad the list.
Group 1 — schools (K-12)
- DigiERP — all modules, unlimited users, one flat annual AMC, live in 1–2 weeks.
- Fedena — one of the longest-running school ERPs, sold in editions.
- Entab CampusCare — strong parent-communication app.
- MyClassboard — K-12 with parent and teacher apps.
- Vidyalaya — established Indian school ERP.
- Skolaro — admissions through examinations.
- Teachmint — classroom-first rather than back-office.
Group 2 — colleges and universities
- DigiERP — UG/PG/PhD, NEP 2020 and CBCS, university examinations with backlog, supplementary and revaluation, moderation and result approval, transcripts and degree records, affiliated colleges in one installation with separated data.
- MasterSoft — higher-education specialist, accreditation-reporting emphasis.
- Academia ERP (Serosoft) — universities and multi-programme colleges.
- Camu — outcome-based education workflows.
- Creatrix Campus — accreditation, outcomes, faculty workflows.
- Ellucian — global suite for large universities.
Group 3 — open source
- OpenEduCat (Odoo-based) and ERPNext Education — no licence fee; the cost moves to implementation, hosting and maintenance. Only sensible with real technical capacity in-house or a committed partner.
Group 4 — adjacent systems people compare against ERP
Not all of these are campus ERPs, and we are not going to imply they are. They appear on shortlists because sometimes a focused tool is the right answer instead of a suite.
- LeadSquared — admissions CRM, widely used by Indian institutes for enquiry-to-enrolment.
- greytHR and Keka — HR and payroll only.
- TallyPrime — accounting only. It is where most institutes start and what they eventually outgrow, because it has no student, fee-head or examination concept.
- Moodle and other LMS platforms — teaching and content, not administration.
Narrowing four groups to three products
- Pick your group first. School, higher education, open source or single-purpose tool. This removes most of the list in one step.
- Then filter on structure. Affiliated colleges, multi-campus, PhD lifecycle and accreditation reporting eliminate school-shaped products immediately.
- Then compare pricing shape, not price. Ask every finalist for a three-year total with your enrolment growth and extra staff logins built in.
- Then ask who implements and migrates. The best software with a weak implementation loses to adequate software implemented properly, every time.
- Then run one real process through the three that are left.
What DigiERP commits to, in writing
- One flat annual AMC. Unlimited students, staff and parent accounts. No per-user charge, no per-module charge, no hidden charges. Adding people to the system costs nothing, which is the difference between live data and week-old data.
- All 18 modules included. Admissions, academics, fees, attendance, timetable, examinations, certificates, library, hostel, transport, HR and payroll, accounts, inventory, portals and reporting arrive together rather than being sold one at a time.
- Live in 1–2 weeks. Process mapping, data import, your own formats on receipts and mark sheets, then training.
- Implemented by the people who build it. No reseller in between.
- Unlimited support and training sessions for as long as you are with us.
- Exit on one month’s written notice, with a free data handover. Your institution owns its data.
- A university and its affiliated colleges run in one installation, with each college’s data kept separate.
The five questions that actually decide it
Every campus ERP brochure in India lists the same modules. The decision is never made on that list — it is made on these five, and you should put them to every vendor on your shortlist including us.
- How is it priced, and what is the bill in year three? Per-student and per-user licensing means the cost rises every intake and every time you let another clerk into the system. Ask for a three-year figure in writing, not a first-year discount.
- Who does the implementation — the company that wrote the software, or a partner? Somebody has to sit with your fee clerk and import your records. Find out which organisation that is before you sign.
- Show me a concession and a refund on screen. Not a slide. A half-year waiver applied mid-term, a scholarship that lands after the receipt, an instalment plan renegotiated in December, a refund on withdrawal. This is where most education ERPs quietly come apart.
- Will it produce our university’s exact reporting format? Bring the current format to the meeting and make them run it. “Almost right” is a re-typing job every examination cycle, forever.
- How do we get our data out if we leave? Ask for the exit clause in writing. A vague answer is the answer.
How to settle it in an afternoon
Do not start with a demo. Bring one real process — this year’s admission list, or last term’s fee register with its concessions and instalments intact — and ask each vendor to run it in front of you. Half an hour of that tells you more than a two-hour presentation, and it is the single fastest way to separate software that fits your institute from software that merely demonstrates well.
If you want to put DigiERP through that test, call +91 83498 62321 or write to contact@digierp.in and send us your own file. Send us your tender document too, if you have one, and we will answer it clause by clause with a yes or a no.
