If Fedena is on your shortlist, you have found one of the longest-running school ERP products in this market. It grew out of an open-source codebase, it has been deployed widely in K-12 across India and abroad, and it is sold in editions with a partner network behind it in several countries. That history is a real advantage: a product that has survived that long has met most of the awkward cases a school office can produce.

We build DigiERP, so treat this as a vendor’s comparison and not an independent review. We have deliberately not published the other product’s pricing or a feature-by-feature scorecard, because those change and we cannot verify them for your institute today. What we have done is set out what each product is built for, state our own terms plainly, and give you the questions that settle it. Ask both of us the same ones.

What each one is built around

Fedena

Fedena is school-first. Its centre of gravity is K-12 administration — students, attendance, fees, examinations, parent communication — and it is sold in tiers, so what you get depends on the edition you buy and, in many territories, on which partner implements it for you. If you are a school that wants a mature, widely deployed product and you are comfortable with an edition-based purchase, it earns its place on a shortlist.

DigiERP

DigiERP is built for colleges and universities first, and used by schools too. The design assumption is different in one specific way: everything is in one package at one price, because the problems we kept being called about were caused by institutes who had bought a core system and then discovered that hostel, transport, payroll or the examination module was a separate line item. A university and its affiliated colleges run in one installation, with each college’s data kept separate.

What DigiERP commits to, in writing

  • One flat annual AMC. Unlimited students, staff and parent accounts. No per-user charge, no per-module charge, no hidden charges. Adding people to the system costs nothing, which is the difference between live data and week-old data.
  • All 18 modules included. Admissions, academics, fees, attendance, timetable, examinations, certificates, library, hostel, transport, HR and payroll, accounts, inventory, portals and reporting arrive together rather than being sold one at a time.
  • Live in 1–2 weeks. Process mapping, data import, your own formats on receipts and mark sheets, then training.
  • Implemented by the people who build it. No reseller in between.
  • Unlimited support and training sessions for as long as you are with us.
  • Exit on one month’s written notice, with a free data handover. Your institution owns its data.
  • A university and its affiliated colleges run in one installation, with each college’s data kept separate.

The difference that actually shows up on the invoice

The thing worth your attention is not a feature list, it is the shape of the price. Edition-based and per-student pricing are completely normal in this industry and they are not a trick — but they do mean two things: your cost moves when your intake grows, and the answer to “can we add the hostel warden to the system” becomes a commercial conversation rather than an administrative one.

DigiERP is quoted as one flat annual AMC per institution with unlimited users and every module included, so neither of those conversations happens. That is the real trade-off to weigh: a tiered product lets you buy less at the start, and a flat all-in price means the number you agree in year one is the number you plan around.

Ask both vendors for a three-year cost, assuming your enrolment grows 20% and you add ten staff logins. The gap between the two answers is usually the whole decision.

The five questions that actually decide it

Every campus ERP brochure in India lists the same modules. The decision is never made on that list — it is made on these five, and you should put them to every vendor on your shortlist including us.

  • How is it priced, and what is the bill in year three? Per-student and per-user licensing means the cost rises every intake and every time you let another clerk into the system. Ask for a three-year figure in writing, not a first-year discount.
  • Who does the implementation — the company that wrote the software, or a partner? Somebody has to sit with your fee clerk and import your records. Find out which organisation that is before you sign.
  • Show me a concession and a refund on screen. Not a slide. A half-year waiver applied mid-term, a scholarship that lands after the receipt, an instalment plan renegotiated in December, a refund on withdrawal. This is where most education ERPs quietly come apart.
  • Will it produce our university’s exact reporting format? Bring the current format to the meeting and make them run it. “Almost right” is a re-typing job every examination cycle, forever.
  • How do we get our data out if we leave? Ask for the exit clause in writing. A vague answer is the answer.

Who should pick which

  • Pick Fedena if you are a school that wants a long-established, heavily deployed K-12 product, you are happy with an edition-based purchase, and the edition you need covers everything you actually use.
  • Pick DigiERP if you are a college, a university or a multi-campus group; if you want every module and unlimited users on one flat annual price; or if you want the company that wrote the software to do your implementation, data migration and training rather than a partner.
  • Shortlist both if you are a mid-size school weighing maturity against all-inclusive pricing. Run the same real fee register through each and let the screens decide.

Pricing, editions and feature coverage on any product change, so verify both with a current written quote rather than with any article — including this one.

How to settle it in an afternoon

Do not start with a demo. Bring one real process — this year’s admission list, or last term’s fee register with its concessions and instalments intact — and ask each vendor to run it in front of you. Half an hour of that tells you more than a two-hour presentation, and it is the single fastest way to separate software that fits your institute from software that merely demonstrates well.
