Academia ERP from Serosoft is a higher-education product, and if you are a university or a large multi-programme college it is a reasonable name to have on a shortlist. Both it and DigiERP are aimed at the same buyer, which makes this a genuinely close comparison — and means the decision will not be settled by a module list, because both lists will look the same.
We build DigiERP, so treat this as a vendor’s comparison and not an independent review. We have deliberately not published the other product’s pricing or a feature-by-feature scorecard, because those change and we cannot verify them for your institute today. What we have done is set out what each product is built for, state our own terms plainly, and give you the questions that settle it. Ask both of us the same ones.
Where the two genuinely overlap
Programme and department structures, admissions, fees, examinations with backlog and revaluation, transcripts and degree records, student and parent portals, HR and payroll, accreditation-oriented reporting. If a vendor tells you their competitor cannot do one of these, be sceptical — at this level of the market, almost everyone can. The differences are in pricing shape, implementation model and how well each one bends to your institution’s specific formats.
The three things worth comparing
- Pricing shape. Ask both for a three-year total assuming your enrolment grows and you add staff logins. DigiERP is one flat annual AMC per institution with unlimited users and all 18 modules, so that figure is flat by design. Compare it against whatever structure the other quote uses — not against its first-year number.
- Who implements and migrates. Historical data is where higher-education projects stall. Ten years of admission registers, mark ledgers and degree records have to become searchable. Ask specifically which organisation does that work, how long it takes, and what it costs. DigiERP does it with its own team, and complete historical-data migration is part of the engagement.
- Affiliated colleges. If you are a university with affiliated colleges, this is the question that eliminates products quickly. DigiERP runs the university and its colleges in one installation with each college’s data kept separate. Ask the other vendor to show you that structure rather than describe it.
What DigiERP commits to, in writing
- One flat annual AMC. Unlimited students, staff and parent accounts. No per-user charge, no per-module charge, no hidden charges. Adding people to the system costs nothing, which is the difference between live data and week-old data.
- All 18 modules included. Admissions, academics, fees, attendance, timetable, examinations, certificates, library, hostel, transport, HR and payroll, accounts, inventory, portals and reporting arrive together rather than being sold one at a time.
- Live in 1–2 weeks. Process mapping, data import, your own formats on receipts and mark sheets, then training.
- Implemented by the people who build it. No reseller in between.
- Unlimited support and training sessions for as long as you are with us.
- Exit on one month’s written notice, with a free data handover. Your institution owns its data.
- A university and its affiliated colleges run in one installation, with each college’s data kept separate.
Our full university scope
For completeness, the higher-education ground DigiERP covers: UG, PG and PhD; multiple faculties, schools and departments; NEP 2020, CBCS, credit and elective management; university-level examinations; backlog, supplementary and revaluation; grade moderation and result approval; transcripts, migration certificates and degree records; affiliated-college management; research scholars, supervisors and the PhD lifecycle; NAAC, NBA, IQAC and AQAR; AISHE and NIRF; university finance and budgeting; HR and payroll for teaching and non-teaching staff; multi-campus; API integration with payment gateways, biometric devices, LMS, library and accounting systems; and complete historical-data migration.
And the caveat we repeat everywhere: no ERP writes your accreditation file. It makes the data retrievable so the file takes days rather than months.
The five questions that actually decide it
Every campus ERP brochure in India lists the same modules. The decision is never made on that list — it is made on these five, and you should put them to every vendor on your shortlist including us.
- How is it priced, and what is the bill in year three? Per-student and per-user licensing means the cost rises every intake and every time you let another clerk into the system. Ask for a three-year figure in writing, not a first-year discount.
- Who does the implementation — the company that wrote the software, or a partner? Somebody has to sit with your fee clerk and import your records. Find out which organisation that is before you sign.
- Show me a concession and a refund on screen. Not a slide. A half-year waiver applied mid-term, a scholarship that lands after the receipt, an instalment plan renegotiated in December, a refund on withdrawal. This is where most education ERPs quietly come apart.
- Will it produce our university’s exact reporting format? Bring the current format to the meeting and make them run it. “Almost right” is a re-typing job every examination cycle, forever.
- How do we get our data out if we leave? Ask for the exit clause in writing. A vague answer is the answer.
How to settle a close comparison
When two products genuinely overlap, stop reading and run the same test on both. Pick your single most awkward real process — a revaluation case, a mid-term concession, last cycle’s AQAR table — and ask each vendor to do it live, on your data, in the first meeting. The one that does it without a follow-up call is the one to buy.
How to settle it in an afternoon
Do not start with a demo. Bring one real process — this year’s admission list, or last term’s fee register with its concessions and instalments intact — and ask each vendor to run it in front of you. Half an hour of that tells you more than a two-hour presentation, and it is the single fastest way to separate software that fits your institute from software that merely demonstrates well.
If you want to put DigiERP through that test, call +91 83498 62321 or write to contact@digierp.in and send us your own file. Send us your tender document too, if you have one, and we will answer it clause by clause with a yes or a no.
