This is written for a principal or trustee who has not yet decided whether to do this at all. If you have already shortlisted vendors, the pricing and comparison pieces will serve you better.

What school management software actually covers

At minimum: admissions and enquiries, fee collection and dues, student records, attendance, examinations and report cards, and a parent login.

Most products extend to: staff records, leave and payroll, library, hostel, transport, inventory, certificates, timetable and reporting.

The idea is one record per student that every one of those reads from, rather than each department keeping its own list.

The signals that it is time

Four, and you probably recognise at least two:

  • Admission season needs temporary staff or a teacher pulled into the office.
  • You cannot state fee dues by class without someone compiling for a day or more.
  • Parents call the office for things they could reasonably see themselves.
  • A record from four years ago takes an afternoon to find.

If none of these is true, you may genuinely not need this yet, and spending on it now would be premature.

What it costs in India

Quotes range from under ₹10,000 a year to over ₹2 lakh. The spread comes from whether pricing is per student, whether all modules are included, whether migration and training are inside the price, and what support looks like when something breaks in admission week.

A realistic budget for a school that wants everything included, with support, is ₹60,000 to ₹1,50,000 a year depending on scope. Cheaper options exist and are right for some schools; the pricing guide covers that honestly.

How long it takes

One to two weeks for a typical school, if the vendor is doing the data migration. The bulk of that time is loading your existing student, fee and staff records — not configuration.

Be wary of two answers: “one day” usually means you are being handed an empty system, and “three months” usually means the project will overlap with a term and lose momentum.

What goes wrong, and how to avoid it

Partial implementation. Modules dropped to save money leave departments outside the system, which recreates the original problem. Prefer an all-inclusive price over a cheap partial one.

History not migrated. If only current students are loaded, you keep the cupboard and the old problem alongside the new software.

Training that expires. Staff change. If retraining is billable, the system degrades over three years.

Teachers routing around it. If marking attendance is slower than the register, it will not be used. Test this with an actual teacher before signing.

Where DigiERP sits

Questions we get asked about this

What does school management software include?

At minimum admissions and enquiries, fee collection and dues, student records, attendance, examinations and report cards, and a parent login. Fuller systems add staff records, leave and payroll, library, hostel, transport, inventory, certificates, timetable and reporting — all reading one student record.

How long does implementation take?

One to two weeks for a typical school when the vendor handles data migration. Most of that time is loading your existing records rather than configuring the software. Be cautious of “one day” (you are being handed an empty system) and “three months” (the project will lose momentum).

Do we need internet in every classroom?

For attendance marking, a working connection in teaching areas helps. Ask any vendor what happens when the network drops mid-class — the answer tells you whether teachers will keep using it. Office functions like fees and admissions need only the office connection.

Will our teachers actually use it?

Only if marking attendance and entering marks is faster than the register. Test this in the demo with a real teacher and a real class list, and time it. This single factor decides more implementations than any feature.

Can we keep using Tally for accounts?

Yes, and most schools do. The ERP handles fee collection and student-wise dues, with a periodic summary flowing to Tally for statutory accounting. Decide this before implementation so the integration point is agreed.

What happens to our data if we stop using it?

With DigiERP you give one month’s notice and your data is handed back in full at no charge. Ask every vendor this question and get the answer in writing — the cost of leaving is part of the cost of buying.
