There are genuinely free and genuinely cheap school management systems in India, and a vendor telling you to ignore them is protecting their quotation rather than advising you.
So here is the honest version.
When free or near-free is the right choice
A school under roughly 300 students, with one person handling the office, no hostel or transport, fees collected mainly in cash, and no immediate need for parent logins, will often do fine on a free or ₹10,000-a-year product.
The work is small enough that the system only has to be a better register. Paying ₹1 lakh for that would be waste, and we would say so.
Where the free option starts costing money
Your data is the price. Read the terms. Some free products are funded by what they can do with aggregate data, or by selling services to your parents. That may be acceptable to you, but it should be a decision rather than a surprise.
Support is community or nothing. On the Tuesday of admission week when fee receipts stop printing, a forum thread is not a support channel. This single factor sends more schools back to paper than any missing feature.
Migration is yours. Loading five years of history is real work. Free products rarely do it for you, so either it does not happen — and the cupboard stays — or a staff member spends two months on it.
The ceiling arrives suddenly. Free tiers cap students, logins or modules. The cap is usually hit in the middle of a year, and upgrading after your data is inside is a negotiation from a weak position.
Customisation and exit. Ask how you get your data out in a usable form. If the answer is unclear, the real cost of leaving is high, whatever the licence cost is.
The comparison that is actually fair
Put both options on a three-year view and include: licence, migration of five years of history, training for staff who will join in years two and three, support response when something breaks in admission week, and the cost of getting your data out at the end.
Sometimes free still wins. Often it does not. Either way you will have compared the right things.
What to watch in the middle tier
The riskiest purchases are not free products. They are very cheap paid products priced per student with modules sold separately — cheap at signature, considerably more by year three, and without the honesty of being free.
Where DigiERP stands
DigiERP is not free and does not try to compete on headline price. It is one flat annual contract with all 18 modules, unlimited students, staff and parents, migration of your history as part of implementation, unlimited training and support, and exit on one month’s notice with a free data handover.
That is the right trade for an institution where the admin load is real. For a small school where it is not, a cheaper product may serve you better, and that is a reasonable thing for us to say.
Questions we get asked about this
Is free school management software safe to use?
It can be, but read the terms. Some free products are funded by what they do with aggregate data or by selling services to your parents. That may be acceptable — it should be a decision rather than a discovery.
What is the catch with very cheap paid software?
Usually per-student pricing with modules sold separately. Cheap at signature, considerably more by year three, and without the honesty of being free. Ask for the three-year total with every module switched on.
Can we migrate off a free product later?
Ask how you export your data and in what format, before you load anything. If the answer is unclear, the real cost of leaving is high regardless of the licence fee.
When is free genuinely the right choice?
A school under roughly 300 students with one office person, no hostel or transport, mostly cash fees and no immediate need for parent logins will often do fine. Paying ₹1 lakh for that would be waste.
What is the most common reason schools leave free software?
Support. On the Tuesday of admission week when receipts stop printing, a community forum is not a support channel. That single experience sends more schools back to paper than any missing feature.
