Library software is one of the oldest and best-solved categories in campus computing. Cataloguing, issue, return, fines and search have worked well for twenty years, and many institutions already run something.
The problem is rarely the library module. It is that the library module has its own idea of who your students are.
The second member list
A standalone library system needs members. Those members were imported from the office at some point, and have been drifting ever since.
A student changes section, discontinues, or is a new admission. The office knows immediately. The library finds out when someone remembers to tell them, or at the start of next year when the list is re-imported.
In between, the library issues books to students who have left and refuses students who have joined.
Where it costs most: no-dues
Before a transcript, transfer certificate or final marksheet can be issued, the student needs library clearance.
With a separate system that means the student walks to the library, waits for someone to check, and carries a signature back to the office. Multiply by the hostel, transport and accounts desks and a leaving student spends days collecting signatures — usually in the week they are trying to start a job or join another institution.
When the library reads the same student record, clearance is a status the office can see. No walking, no signatures, no week.
What a connected library module should do
- Members are students and staff — no separate list, no import, no drift.
- Issue and return against the student record, so history follows the student.
- Fines that reach the fee ledger, rather than being collected in a separate cash box with its own register.
- No-dues as a live status, visible wherever certificates are issued.
- Usage reporting, which accreditation files ask for and which is otherwise a fresh counting exercise.
The honest caveat
If you run a large library with serious cataloguing needs — full MARC records, union catalogues, inter-library arrangements — a dedicated library system may do that better than any ERP module, and it would be wrong to claim otherwise.
In that case the question becomes integration: can the library system read your student list automatically rather than by annual import? That is a reasonable middle path, and worth asking both vendors about.
For most schools and degree colleges, a library module inside the main system is the better trade, because the drift and the no-dues walk cost more than the cataloguing depth is worth.
How DigiERP handles it
Library sits inside the same platform, with members drawn from the student and staff records, issue and return against those records, fines reaching the fee ledger, and clearance visible as a status. It is one of the 18 modules included in one flat annual contract — not a separately priced add-on.
