If you read enough publicly published ERP tender documents from Indian universities and autonomous colleges, the same requirements keep appearing. Not the marketing language — the clauses. They are a better guide to what matters than any vendor’s feature list, because they were written by institutions that had already lived with a system that disappointed them.
Here is what recurs, and what each clause is really protecting against.
One student record, owned by the institution
Serious tenders almost always specify a single unified database rather than integrated modules from different products. The clause exists because integration is where these systems fail. Two products joined by a nightly sync will eventually disagree, and the disagreement surfaces at the worst moment — during an audit, or when a parent is on the phone.

Role-based access, not shared logins
The requirement is usually phrased as granular, role-based permissions with an audit trail. The problem it solves is mundane and universal: when five people share one login because the system cannot express their different roles, nobody can say who changed a mark or waived a fee.

Indian institutions collect fees online, at a counter in cash, by cheque and by direct bank transfer, often all four in the same week. Tenders ask for all of them to post against the correct student automatically.
The reason is that manual reconciliation is where fee disputes come from. If the balance the office quotes differs from the balance the parent believes, somebody is reconciling by hand and losing. DigiERP posts every channel to the same ledger against the same student.
Reporting that can be produced without a project
This clause usually appears as configurable reports for statutory and accreditation requirements. What it means in practice is that when a governing body, a funding agency or an accreditation file asks for five years of enrolment, attendance and fee data, the institution should be able to answer without a month of collecting spreadsheets from departments.
That is only possible if the data was in one system to begin with, which is why this clause and the first clause are really the same requirement stated twice.
