School transport software is usually sold on a live map with a moving bus icon. Parents like it, and it is genuinely reassuring.
It is also the part that matters least on an ordinary day.
The four facts that do the work
Which route a student is on. Which stop. What they are charged for it. Which parent to contact.
Those four, kept accurate, prevent most transport problems. A map cannot help if the bus list says a child boards at a stop they stopped using in September.
Why transport lists drift
Transport changes mid-year more than most people expect. Families move. A student switches from bus to private pick-up after a sibling starts driving. A new stop is added and a dozen students move to it. A route is reorganised when numbers change.
When transport runs on its own register, each of those changes is recorded by the transport in-charge and reaches the office only if someone mentions it. The fee desk then charges transport to a student who left the route in October, and the parent calls to argue — correctly.
What transport software should actually do
- Routes and stops defined once, with students allocated against their own record.
- Changes recorded as events — a student joining or leaving a route from a given date, so billing follows reality.
- Transport fees on the same ledger as tuition, pro-rated when someone joins or leaves mid-term.
- A current list per bus, printable, with parent contact from the student record.
- Utilisation visible, so an under-used route is a decision rather than a discovery at year end.
GPS tracking sits on top of this, and is more useful when the underlying allocation is correct.
The billing problem that causes most complaints
Transport is the charge parents dispute most, because it changes during the year and because it is often maintained separately from tuition.
When transport charges sit on the same student ledger, with the join and leave dates recorded, the bill explains itself. When they sit in a separate book, every change becomes a negotiation, and the school usually concedes because it cannot prove its own position.
How DigiERP handles it
Route and stop allocation against the student record, changes recorded with dates, transport charges on the same fee ledger as tuition, current lists with parent contact pulled from the student record, and visibility of utilisation. Transport is one of the 18 modules in one flat annual contract, not a priced add-on.
