Many schools accept online fees today. Far fewer have an online fee system.

The difference is what happens after the parent pays.

The common arrangement, and its flaw

A school shares a UPI ID or a payment link. Parents pay. Someone checks the bank statement, matches entries to students, updates the register and issues receipts.

The payment became convenient for the parent and created new work for the office — matching references to names, chasing parents who paid without mentioning which child, and explaining balances that are two days behind.

What a real online fee system does

  • The parent pays against their own ledger, from a login that already knows who they are. No reference to quote, nothing to match.
  • The balance updates immediately, so the office and the parent see the same figure.
  • The receipt is generated automatically and available to download, not typed the next morning.
  • Failed and pending payments are visible, which is the case nobody plans for and everybody meets.
  • Settlement is reconcilable — you can tie the gateway’s settlement to the individual payments it contains.

The failure case worth asking about

A parent’s money leaves their account and the payment fails at the gateway. The parent has an SMS from their bank; your system shows unpaid.

This happens to every school accepting online payments. Ask the vendor how it is handled: is the pending state visible to the office, does it resolve automatically on settlement, and what does the parent see in the meantime?

A vendor who has not thought about this will say it rarely happens. It happens weekly at volume.

Charges, and who bears them

Gateway charges are real — typically a small percentage on cards and net banking, often nil on UPI. Decide deliberately whether the school absorbs them or passes them on, and make it visible to the parent either way. Schools that quietly add a convenience fee discover that parents notice and resent it more than the amount warrants.

Keeping the counter working

Online collection should not mean cash stops. Many families will still pay at the counter, and the counter receipt must post to the same ledger as the online payment.

If online and offline collection produce two records, you have added a channel and kept the reconciliation problem.

How DigiERP handles it

Payment gateway integration writing directly to the student ledger, parents paying from their own login against their own dues, automatic receipts, pending and failed payments visible to the office, and counter collection posting to the same ledger. Dues and collection reporting read one source, and reminders read live balances.
