Ask an accountant in a school where salary errors come from and they will not say the calculation. They will say the information arrived late or arrived wrong.

The three inputs payroll depends on

Attendance. Approved leave. Any change to the staff member’s own terms — a promotion, a revised allowance, a new deduction.

In most institutions those three live apart from the payroll sheet. Staff attendance is a register or a biometric export. Leave is an application form in a file, approved by a principal who may be travelling. Terms are in a letter in a personnel folder.

The payroll is then assembled by one person collecting all three under time pressure at month end, which is exactly when mistakes happen.

Why leave causes the most trouble

Leave has a rule set that is easy to describe and tedious to apply: entitlements per category, carry-forward, half-days, loss of pay beyond a limit, different rules for teaching and non-teaching staff.

Applied by hand across sixty or two hundred staff, errors are inevitable. And a leave error is not a small matter to the person affected — a wrongly deducted day is remembered for a long time, and the next month’s payroll is checked with suspicion.

When leave is applied for, approved and recorded in the same system that runs payroll, the balance is always current and the deduction is derived rather than decided.

What HR and payroll should cover in an institution

  • Staff records for teaching and non-teaching staff, with qualifications and designation history.
  • Staff login, so leave is applied for and tracked without paper moving between desks.
  • Leave management with entitlements, approval workflow and live balances.
  • Attendance, including biometric integration where devices exist.
  • Salary structure and payroll processing, with allowances, deductions and statutory components.
  • Salary slips available to staff themselves rather than printed and distributed.

The point institutions usually miss

Staff data is also accreditation data. Faculty qualifications, designations and workload are asked for in NAAC and AISHE submissions. If HR records are a folder in a cupboard, that becomes a separate data-gathering exercise every year.

When staff records sit in the same system as academics, faculty workload is already known, because it comes from the timetable.

How DigiERP handles it

Staff login, leave application and approval with live balances, staff attendance with biometric integration, student attendance marking by staff, salary structure and payroll processing, and salary slips available to the staff member. Staff accounts are unlimited under one flat annual contract.
