“Higher education ERP” is not a marketing upgrade of school software. The gap between the two is structural, and it is the reason so many universities end up replacing a system within three years of buying it. If you are evaluating for a university, an autonomous college or a multi-programme institute, these are the eight capabilities that separate the real thing from a school product with a college label on the brochure.

1. Programme structure, not class and section

A school has classes. Higher education has programmes, streams, faculties, schools, departments, semesters, electives and credits. If the data model underneath is still “class and section”, everything above it will fight you — and you will discover this during your first elective allocation, not during the demo.

2. NEP 2020, CBCS and credit management

Credit-based structures, multiple entry and exit, elective baskets, minors, ability-enhancement courses, credit transfer. This has to be configurable by your own staff as the regulations keep moving, not hard-coded by the vendor each time the UGC issues a clarification.

3. A university-grade examination system

This is the single biggest differentiator and the usual point of failure. School examination modules compute marks. A university examination system has to handle backlog, supplementary and revaluation; grade moderation with an audit trail; result approval workflows; and your exact result format. Ask to see a revaluation case processed on screen. Ask what happens when a moderation decision changes a published result.

4. Transcripts, migration certificates and degree records

Records have to be retrievable a decade later, because they will be asked for. A graduate applying abroad in 2034 will need a transcript for a 2024 programme, with the grading scheme that applied then, not the one that applies now. Ask how the system stores a historical grading scheme.

5. Affiliated colleges in one installation

If you are an affiliating university, this eliminates products fast. You need every affiliated college in one system with each college’s data kept separate, central examination and result processing across all of them, and college-wise reporting that rolls up. DigiERP does exactly this — a university and its affiliated colleges run in one installation with separated data. Ask any other vendor to show you that structure rather than describe it.

6. Research scholars and the PhD lifecycle

Scholars, supervisors, allocation, coursework, progress reviews, synopsis and thesis submission, viva, award. Almost no school-derived product has any concept of this, and it cannot be retrofitted with a custom field.

7. Accreditation and statutory reporting

NAAC, NBA, IQAC and AQAR; AISHE and NIRF. And the honest caveat we repeat everywhere: no ERP writes your accreditation file. Any vendor implying otherwise is overselling. What good software does is keep the underlying data consistent and retrievable so the file is assembled in days rather than months. The test is not “do you support NAAC” — everyone says yes. Bring the exact AQAR table your IQAC coordinator filled in by hand last cycle and ask for it on screen.

8. Finance, budgeting and multi-campus

University finance is not school fee collection. Budget heads, grants, project accounts, departmental budgets, multi-campus consolidation, HR and payroll across teaching and non-teaching staff on different rules. Plus API integration with your payment gateway, biometric devices, LMS, library system and accounting software — because a university will not replace all of those at once.

What DigiERP covers

All eight above, plus complete historical-data migration, and the day-to-day college modules in the same package: admissions, fees across channels, attendance and timetable, certificates, library, hostel and transport, student and parent portals, accounts and inventory, and reporting.

What DigiERP commits to, in writing

  • One flat annual AMC. Unlimited students, staff and parent accounts. No per-user charge, no per-module charge, no hidden charges. Adding people to the system costs nothing, which is the difference between live data and week-old data.
  • All 18 modules included. Admissions, academics, fees, attendance, timetable, examinations, certificates, library, hostel, transport, HR and payroll, accounts, inventory, portals and reporting arrive together rather than being sold one at a time.
  • Live in 1–2 weeks. Process mapping, data import, your own formats on receipts and mark sheets, then training.
  • Implemented by the people who build it. No reseller in between.
  • Unlimited support and training sessions for as long as you are with us.
  • Exit on one month’s written notice, with a free data handover. Your institution owns its data.
  • A university and its affiliated colleges run in one installation, with each college’s data kept separate.

How to verify it in one meeting

Do not start with a demo of the vendor’s choosing. Bring three things: a revaluation case, last cycle’s AQAR or AISHE table, and a transcript request for a student who graduated years ago. Ask for all three live, on your data. A product built for higher education will do them in the meeting. A school product with a college label will promise a follow-up call.

Send us your tender document and we will answer it clause by clause with a yes or a no. Call +91 83498 62321 or write to contact@digierp.in.
