Coaching institutes are often sold school software, and the fit is poor in three specific places. The rest transfers well.

1. Enquiries matter more than anywhere else

A school’s admissions are seasonal and largely captive. A coaching institute competes for every student, often against three others in the same market, and the gap between enquiry and enrolment is where the business is won.

That makes enquiry handling a core function rather than a nicety: capture with source, follow-up dates, who is responsible, what was discussed, and conversion reporting by source and by counsellor.

If you cannot say which of your marketing produced admissions last year, that is the first thing to fix — before any academic module.

2. Batches, not classes

A student joins a batch, which has a start date, a schedule, a faculty set and a fee. Batches start through the year rather than in June. Students shift batches, join late, pause and resume.

Software built around an academic year with fixed classes handles this badly. Ask specifically how a mid-batch joiner is charged, and what happens when a student moves from a morning batch to an evening one.

3. Instalments are the normal case

In schools, instalments are an exception requiring approval. In coaching, they are how most fees are collected — often negotiated individually at admission.

So the fee module must treat an instalment plan as a first-class record: agreed amounts, agreed dates, what has been received against the plan, and automatic reminders that follow the plan rather than a generic due date.

Where this is handled with a side note, collection depends on whoever remembers the arrangement, and conversations with parents become disputes about what was promised.

What transfers unchanged

Attendance, test and result handling, staff payroll, parent communication and reporting all work much the same. Those are not where fit is lost.

Two questions worth asking a vendor

“Show me a student joining a batch three weeks after it started, with a four-instalment plan, and show the reminder schedule that produces.”

“Show me enquiries by source for last quarter, with how many converted.”

If both are easy in the demo, the product understands coaching. If either requires explanation, it was built for schools.

How DigiERP fits
