Vendors use four terms almost interchangeably: student information system, education ERP, campus management system and school management software. Buyers reasonably assume they are the same product.
They overlap, but they are not identical, and the difference decides what you end up with.
What a student information system is
An SIS is built around the student record. Admission details, demographic information, enrolment history, academic progression, attendance, results and documents, held in one place for the life of the student and afterwards.
Its job is to be the authoritative answer to “who is this student and what has happened to them”. A good SIS can tell you about a student who left in 2016 as easily as one who joined last week.
What an education ERP adds
An ERP includes the SIS and adds the institution’s operations: fee collection and accounts, HR and payroll, library, hostel, transport, inventory, procurement.
In other words, the SIS answers questions about students; the ERP also answers questions about running the institution.
Which one an institution actually needs
Three honest cases.
An SIS alone can be enough if your accounts are well handled in existing software you have no intention of replacing, you have no hostel or transport, and your main pain is student records and academics.
An ERP is the right answer when the pain crosses departments — fees not matching the office, attendance not reaching eligibility, no-dues requiring four signatures. That is a connection problem, and connecting is what an ERP is for.
Neither is urgent if you are a very small institution where one person genuinely holds everything and nothing is slipping. Software adds process, and process has a cost. It is worth being honest that not every institution needs this yet.
The question that separates them in a demo
Ask: “If I change a student’s section today, what else changes by itself?”
In an SIS the academic record follows. In a real ERP the fee ledger, the attendance list, the transport allocation, the hostel record and the parent login all follow too. In a collection of modules sold together, somebody updates each one.
That last case is common and is worth identifying before signing, because it looks identical in a feature list.
What to check about history
Whichever you buy, ask how many past years will be migrated and at whose cost. A student information system that only knows current students cannot answer the transcript request that arrives eight years later — which is one of the main reasons to have one.
Where DigiERP sits
DigiERP is a full ERP: one student record at its centre, with all 18 modules across academics, operations and compliance in a single flat annual contract, unlimited student, staff and parent accounts, and complete historical data migration as part of implementation.
If an SIS alone is genuinely what you need, we will say so rather than sell you more.
Questions we get asked about this
What is the difference between an SIS and an ERP?
An SIS is built around the student record — admission, enrolment, academics, attendance, results, documents. An ERP includes that and adds institutional operations: fees and accounts, HR and payroll, library, hostel, transport, inventory.
Which one does a school actually need?
If your pain is student records and academics only, and your accounts are well handled elsewhere, an SIS can be enough. If the pain crosses departments — fees not matching the office, attendance not reaching eligibility, no-dues needing four signatures — that is a connection problem, which is what an ERP is for.
How do I tell them apart in a demo?
Ask: “if I change a student’s section today, what else changes by itself?” In a real ERP the fee ledger, attendance list, transport allocation, hostel record and parent login all follow. In modules sold together, somebody updates each one.
Does an SIS keep records of students who have left?
It should — that is one of the main reasons to have one. Ask how many past years will be migrated and at whose cost. A system holding only current students cannot answer the transcript request that arrives eight years later.
Is a student information system worth it for a small institution?
Not always. If one person genuinely holds everything and nothing is slipping, software adds process you may not need yet. The signals that it is time are admission season needing extra hands, dues you cannot state without compiling, and old records taking an afternoon to find.
