Almost every campus software package lists “fee management”. Very few remove the work that fees actually create.

The job is reconciliation, not receipts

Printing a receipt is easy. The hard part is that money arrives through a payment gateway, a cash counter, cheques and bank transfers, and all of it has to end up against the right student quickly enough that the balance you quote a parent is true.

If the software prints receipts but online payments are keyed in later from a bank statement, you still have the reconciliation problem. You have only moved where it happens.

Seven things worth insisting on

  • A fee structure that fits your reality — class-wise, term-wise, optional heads like transport and hostel, and one-off charges.
  • Every channel posting to one student ledger — gateway, cash, cheque and transfer, against the same record.
  • Concessions and scholarships inside the ledger, not in a side note. A dues figure that ignores concessions is wrong, and everyone stops trusting it.
  • Instalment plans recorded as agreed, so the next person to call a parent knows what was promised.
  • Dues by class and overall, on demand — not compiled over two days.
  • Collection by day, month and year, so patterns are visible before the year ends.
  • Reminders that read live balances, so you never chase a parent who paid yesterday.

The feature that sounds good and rarely matters

Elaborate dashboards. A chart of collection by month is pleasant and tells you little you did not already know. The figure that changes behaviour is duller: which students are overdue, by how much, today.

The integration question to ask

Online collection only works if the gateway writes back into the ledger automatically. Ask directly: when a parent pays at 9pm on Sunday, is the balance updated before the office opens on Monday, or does somebody enter it?

The answer decides whether you have online payments or merely an online payment page.

How DigiERP does it

Fee structure setup, online and offline collection, a student ledger carrying concessions and instalments, class-wise and overall dues, collection by day, month and year, receipts issued from the same record, and reminders reading live balances — in the same system as admissions and academics, on one flat annual contract with no per-student charge.

A five-minute test for any vendor

Ask them to show, in their demo, the total outstanding for one class as of today, then add a cash payment for one student and show the figure change. If that takes more than a minute there, it will take longer in your office.

Questions we get asked about this

Can parents pay fees online and see the receipt immediately?

They should. If the gateway writes to the student ledger directly, the balance updates and the receipt is available without anyone in the office doing anything. If payments are keyed in from a bank statement later, you have an online payment page rather than an online fee system.

How are concessions and scholarships handled?

They must sit inside the student ledger, not in a side note. A dues figure that ignores concessions is wrong, staff stop trusting it, and you end up with a parallel spreadsheet — which is the problem the software was bought to remove.

Can we set different fee structures per class and per term?

Yes, and you should insist on it: class-wise and term-wise structures, optional heads like transport and hostel, and one-off charges. Ask to see one configured in the demo rather than described.

How do instalment plans work?

An agreed plan should be a record — amounts, dates and what has been received against it — so the next person who calls the parent knows what was promised. Reminders should follow the plan rather than a generic due date.

Can we see dues by class as of today?

That is the test worth running in any demo. If producing today’s outstanding by class takes more than a minute there, it will take longer in your office, and your fee follow-up will always start late.

Does it work if some parents still pay cash?

It has to. Counter receipts must post to the same ledger as online payments, otherwise you have added a channel and kept the reconciliation work.
