Most schools that buy online admission software end up with a digital form and the same manual process behind it. The parent fills a form online, somebody prints it, and the details are typed into the register as before.
The form was never the expensive part.
What admission season actually consists of
Four things, in order: capturing enquiries so none are lost, following them up, converting the ones that convert, and entering the admitted students everywhere they need to exist.
Software that only handles the third step leaves the two most expensive ones untouched.
Enquiries are the part schools lose money on
A parent calls in January. Somebody writes the name in a diary. Three weeks later nobody can say whether that family was followed up, who spoke to them, or what was discussed.
Admission is a sales process whether a school likes the word or not. Enquiry capture, source, follow-up date, who is responsible and what was said — these are the things that decide how many enquiries become admissions. A diary cannot report on them; a system can.
The test of real admission software
The enquiry record should become the application, and the application should become the student. Not a copy — the same record, moving through stages.
When that holds, the name, father’s name, phone number and address are typed once, by the parent, and never typed again. The fee receipt, the class list, the attendance register and the parent login all read from it.
When it does not hold, every admission is re-entered at least twice, and admission season costs the school a temporary hire and a lecturer pulled out of class.
What to check in a demo
- Can you log a phone enquiry in under thirty seconds, with a follow-up date?
- Does the admitted student appear in fees, attendance and the parent portal automatically, or does somebody transfer them?
- Can you see conversion: how many enquiries, how many applied, how many joined, by source?
- Can documents be uploaded by the parent and checked by the office, or do they still arrive as photocopies?
Ask for the second one specifically. It is the question most demos skip.
How DigiERP handles it
Enquiry and lead capture with follow-up tracking, online and offline registration forms, document handling, and the admission record becoming the student record used by fees, academics, attendance and the parent login. One flat annual price with unlimited students and parents, so a busy admission year costs no more than a quiet one.
One measurement before next season
Count the enquiries you received last year, and the admissions. If you cannot produce the first number, that is where the attention belongs — before any form is digitised.
Questions we get asked about this
Does online admission software reduce office work?
Only if the admitted student flows into fees, attendance and the parent login automatically. If somebody re-enters them, the form went online and the work did not. Ask to see that step specifically — most demos skip it.
Can we capture walk-in and phone enquiries too?
You should be able to log one in under thirty seconds with a follow-up date and an owner. Most admissions are lost in enquiry follow-up rather than in the form, and a diary cannot report on conversion.
Can parents upload documents?
Yes, with the office able to verify and mark them received. This removes most of the photocopy handling and the “please bring it tomorrow” conversations.
Can we see how many enquiries became admissions?
By source and by counsellor, ideally. If you cannot say which of your marketing produced admissions last year, that is worth fixing before anything else.
Does it handle admission fees at the point of admission?
It should post straight to the student ledger, so the admission and the first payment are one event rather than two records to match later.
