Ask three vendors for a price on school management software and you may get ₹9,000, ₹45,000 and ₹1,80,000 a year. All three describe the same thing in almost the same words.
The difference is rarely features. It is what the number includes, and what happens to it in year two.
The four things that actually move the price
Whether it is priced per student. This is the biggest single factor. A school of 400 and a school of 2,000 pay very different amounts under the same quote. It also means your bill grows exactly when you are investing in growth.
Whether all modules are included. Many low headline prices cover admissions and fees only. Library, hostel, transport, payroll and the parent app are separate line items discovered later.
Whether setup and data migration are inside the price. Loading your existing student, fee and staff records is real work. If it is quoted separately it can equal the first year’s licence.
Whether support and training are included. Staff change every year. If retraining is billable, the true cost of ownership is nothing like the quoted figure.
Why the cheapest quote is often the most expensive
A ₹9,000 plan is usually a small number of logins, a limited module set, email-only support and no migration. For a 300-student school with one computer in the office, that can be exactly right, and it would be dishonest to say otherwise.
It stops being right the moment you want parents to log in, or the hostel included, or five years of history loaded, or somebody on the phone during admission week. Each of those is then an upgrade, and upgrades quoted after you have migrated your data are not negotiated from a strong position.
How to compare two quotes properly
Ask every vendor for the same four numbers, in writing:
- Total cost for three years, assuming your enrolment grows by 20%.
- Price with every module you might want switched on, not just the ones you need in month one.
- Cost of migrating the last five years of records.
- Cost of training six new staff members in year two.
The quote that wins on all four is rarely the one with the lowest first number.
Where DigiERP sits, plainly
DigiERP is one flat annual contract. All modules are included, student, parent and staff accounts are unlimited, data migration is part of implementation, and training and support are unlimited and included. The contract rises 10% at each yearly renewal to cover server and maintenance costs, and ends on one month’s notice with a free data handover.
It is not the cheapest number on a first-year comparison, and we would rather say that than have you discover it. What it is, is a number that does not change because you admitted another two hundred students or finally switched on the transport module.
For a school, that figure typically starts at ₹5,000–₹10,000 a month depending on scope. We will send a written quotation with the modules you actually want, and you can hold it against anyone else’s.
The question that settles most comparisons
Ask each vendor: “If we grow from 600 students to 900 next year, what does this cost become?”
The answers to that one question usually reorder the shortlist.
Questions we get asked about this
Is school management software charged per student?
With many vendors, yes — and it is the single biggest driver of long-term cost. A per-student rate that looks small at 400 students becomes significant at 900. DigiERP is charged as one flat annual contract regardless of how many students, parents or staff use it.
What is a realistic budget for a 500-student school?
For an all-inclusive contract with every module, migration, training and support, expect roughly ₹60,000 to ₹1,20,000 a year in the Indian market. Products below ₹20,000 generally limit modules, logins or support, which can still be the right choice for a smaller school.
Are setup and data migration usually extra?
Very often, and it is the cost buyers most frequently miss. Loading several years of student, fee and staff records is real work. Ask for it in writing as a separate line, then compare. With DigiERP it is part of implementation rather than a priced project.
Does the price increase every year?
Most contracts rise at renewal. DigiERP rises by 10% at each yearly renewal, covering server and maintenance costs, and we state that upfront rather than at renewal time. Ask every vendor what their renewal uplift is before you sign the first year.
What should I compare if two quotes look similar?
Three-year total with 20% enrolment growth, every module switched on, migration of five years of history, and training six new staff in year two. Those four figures reorder most shortlists.
