There is no single answer to what education ERP software costs in India, because vendors price it in fundamentally different ways. Understanding the models matters more than collecting quotations.

The three models

Per student, per year. The most common. Predictable this year, punishing later — the institution pays more for succeeding at admissions, and the bill grows exactly when other costs are also growing.

Per module. A low entry price that rises as you add library, hostel, HR or transport. The departments still outside the system keep their own registers in the meantime, so you carry both the software cost and the duplicate work.

Flat annual contract. One figure for the year covering everything. The budget is knowable, and there is no financial reason to leave a department out.

  • Exit cost — what it takes to get your data back

The cost that is never quoted

The biggest expense of running without a connected system does not appear in any comparison: staff hours spent entering the same student twice, reconciling a receipt book against a ledger, and building lists by hand because nothing can produce them.

In admission season that becomes late evenings, and often temporary staff hired for two months to copy information between systems. It is paid every year, in salary, and no vendor puts it in a spreadsheet.

A fair way to judge value

Ask what the institution spends today on work that exists only because records are kept in several places. Then ask what the ERP costs, and whether that figure changes when enrolment does.
