A student joins your college. Someone writes down the name, the father’s name, the phone number, the course.
Then someone writes it again. Then someone writes it again.
The same details, in many places
Think about one student, from the day they apply.
The details go on the admission form. Then into the admission register. Then into the fee receipt. Then into the department register. Then into the attendance sheet. Then into the examination list. Then into a file for the office. Then into an Excel sheet, because the register is hard to search.
It is the same name every time. It is typed by a different person every time.
Nobody decided to work this way. It grew slowly. Each register was started by someone who needed information that was not easy to get from the others.
Where the extra hours come from
This repeat work is invisible on a normal day. It shows up when the office is busy.
During admission season, the same staff have to enter hundreds of students into several places. So they stay late. Sometimes the college hires extra hands for two months. Sometimes a lecturer is asked to help in the office instead of teaching.
Then the mistakes begin. One register says one thing, another says something else. Now somebody has to check both and decide which is correct. That checking takes longer than the original entry did.

Ask most principals what their office costs, and they will say salaries. That is the visible part.
The hidden part is the hours. Hours spent typing something that already exists somewhere. Hours spent matching two registers. Hours spent on the phone telling a parent a fee balance that someone has to look up in three places first.
These hours never appear as a line in the budget. But they are paid for, every month, in salary.
What changes when it is entered once
The fix is simple to say and harder to do. The details should be entered one time, and everything else should read from that one entry.
